Getting your job advertisements live

If you’re a hiring manager who’s ready to recruit and you’d like to use paid for media to get your job adverts seen by the right people, just follow the steps below to get started.

  1. Complete our Advertising Request Form – or if you’re running a larger advertising campaign for multiple roles, complete our Advertising request form for large campaigns
  2. Agree your budget for the advertising internally – standard advertising costs for recruitment activity are typically 5% of salary cost per role.
  3. When you’ve finished both of these steps, send the completed form, your proposed budget, and the job profile for each vacancy to defrainbox@tmpw.co.uk.

As soon we receive these documents, we’ll put together a proposed media schedule for you to review. This schedule will include recommendations on how to make your budget work hardest for you and attract the right talent for the role. We base all of our recommendations on data which means you may see certain media come up again and again, this is because we know that these sites have previously delivered the type of candidates you’re looking for, if you’d prefer to look at alternative solutions please reach out to discuss.

For some hard-to-fill roles, where we feel a more pro-active approach is required, for example, those that are more senior or require a niche skillset, we may recommend enhanced recruitment services either instead of or alongside our usual media recommendations.

If copywriting has been requested then alongside this work, our team of in-house copywriters will begin to write a bespoke package of copy for your campaign, taking into account the audience you want to reach, the platforms your campaign will run on, and industry best practices in recruitment. This typically takes two working days but can take longer for large batches of copy. If you are writing your own copy, please use the template linked on the right as a guide. Please do not include any links or contact details in your advert copy, many media do not allow this as it can disrupt the candidate’s journey, if necessary, these can be included in the advert on your ATS.

We’ll often recommend the inclusion of CM/MI, which stands for campaign management, measurement, and insight, essentially this will allow us to track and optimize your campaign and provide valuable insight to help plan future campaigns.

Occasionally we’ll need additional information from you before we can begin this work, however, we’ll contact you as soon as we can to let you know if that’s the case.

How long does it take?

If no additional information is required, we ‘ll provide you with a proposed media schedule within the following time frames:

  • For smaller campaigns (if the budget is less than £15k): two working days of receipt of your email.
  • For larger campaigns (if the budget is more than £15k): five working days of receipt of your email.

What next?

When you’ve got our proposed media schedule and copy, you will need to review our recommendations internally with any relevant stakeholders you may have.

  1. When you’re ready, reply to the email and let us know of any feedback or amends that you’d like us to make. It’s important that any feedback and amends are collated before they’re sent to us as you may be charged for additional rounds of amends.
  2. When we’ve received your feedback, we will send back an updated schedule and any copy amends you’ve requested within two working days for smaller campaigns and two to five working days for larger campaigns depending upon the extent of amends required.
  3. If you agree with our recommendations at this stage, it’s time to raise a Purchase Order for the work. We’ve included guidance on raising a Purchase Order further down this page if you’re unsure how to do this.
  4. When the Purchase Order is approved, send your PO number along with approval of the media schedule and costs to defrainbox@tmpw.co.uk.

Going live!

Once we’ve got your PO number and approval of the media schedule and copy we can begin the steps to go live. Next you need to:

  1. Send links to the live job roles at defrainbox@tmpw.co.uk (we cannot proceed before receiving these links)
  2. We add these links to your adverts (along with any necessary tags for tracking), and when they’re live, we’ll send you links to the live media campaigns. This will take two to five working days depending on CM / MI usage.
  3. We will raise an invoice for the work quoting your PO number and send it to SSCL for payment.
  4. You need to receipt TMP for the work on SOP Procurement to authorise the payment of this invoice. The automated payment process through SOP will then be made to TMP.
  5. The final step in the process is for you to evaluate the campaign, either while it’s in progress or after it’s finished. We will then discuss with you what went well and where we have any recommendations for the future.

If you follow the same format as the example shown above, we’ll be able to accurately monitor and track recruitment media spend across the entire Defra Group.

Access to TMP Paid for Media Services (People Scout) via third party

If you have engaged a 3rd party to undertake your recruitment activity and they are accessing TMP’s support for paid media on your behalf, they can contact TMP directly, following the commissioning process outlined, i.e., advertising request form.

Confirmation that the budget is agreed will be via the PO process and the PO must be raised by a Defra employee. This is to ensure that we know the media spend has been authorised and agreed by the business.  The business is responsible for providing the PO number to TMP.
